Global Change Research Institute of the CAS announces a competition for the position Office and Operations Coordinator for the Prague Branch.

The Institute of Global Change Research of the Czech Academy of Science (CzechGlobe) is seeking a part-time office and operations coordinator for the Prague Branch.

About the employer

Global Change Research Institute CAS (CzechGlobe) is one of the institutes of the Czech Academy of Sciences. CzechGlobe conducts comprehensive scientific research on issues of the global climate change and its impacts on the atmosphere, terrestrial ecosystems and human society. The main office and institute structures are based in Brno.

The Prague Branch of CzechGlobe is home to four of the research departments that are mainly focussed on social dimensions of global change research. The four departments include approximately 40 researchers who flexibly share the Prague office space. They work together across a range of projects and initiatives focussed on exploring the relationship between society, natural systems, and global change. There is an emphasis on the policy and practical use of research results.

About the role

We would like to work with someone who can support the department leads in establishing a cross-department centre for understanding the social dimensions of global change. This role will include the daily management of the Prague branch, as well as proactive role in support to the collective work of the departments. Specific tasks include:

  • Oversee and coordinate daily operations in the office.
  • Create and maintain systems to book meeting rooms and working space
  • Create and maintain a professional working environment, including liaising with building owners and managers
  • Ensure administrative processes are carried out between Prague office and Brno headquarters
  • Maintain and develop existing joint activities, such as the blog sustainablecz.org
  • Lead in implementing joint plans across the departments (e.g. organising cross-department workshops, meetings, etc.)
  • Identify ways in which you can contribute to strengthen work between the Prague departments, and between Prague and Brno, and work with us to implement them.

This is a new position, created because the number of departments in Prague has increased. As such, the person joining the team will need to work with the team to figure out processes for communicating across the department leads. You will be a member of the office of the director, and task priorities will be agreed in monthly coordination meetings across the four Prague department leads. You will therefore work closely with the department leads and liaise regularly with the head office in Brno.

This position is part time (50% FTE), with an expectation to work from the office. There is some flexibility in working hours.

Person specification

The position is suited to someone with confidence and initiative to solve practical problems independently.

Essential (the selected candidate will have the following skills):

  • Proven administrative and organisational skills
  • Excellent Czech and English speaking and writing skills
  • Strong communication skills
  • Proactive, solution-oriented mindset
  • IT literacy (including MS Office and Teams)
  • Ability to work independently and as part of a team.

Desirable (we consider these skills as added value, and still welcome applications from people who do not meet these skills):

  • Event coordination experience (e.g. meetings, workshops)
  • Experience in an international or multicultural work environment
  • Experience with interpretation of scientific results to public and media audiences
  • Motivation to work with topics related to sustainability (e.g. climate change, biodiversity loss)
  • Event promotion and outreach skills
  • Experience with process design and improvement
  • Budget management experience
  • Experience with graphic software, such as Canva, Adobe Illustrator, Affinity
